Three steps to lead your provisional reception with the PDF minutes.
Day before reception · 30-min preparation
Print the minutes in 3 copies (you, the contractor, the architect if any). Prepare: draft deed, plans, specifications, photos of the ongoing site, laser measure, torch, camera. Also prepare a personal grid of points specific to your contract (tiles, custom finishes, optional equipment requested).
On the day · adversarial inspection 2 to 4 hours
Walk the property room by room with the contractor. For each non-conformity or defect, precisely note in the minutes: room, item, defect description, dimension/quantity, annotated photo. Estimate the cost or require the contractor's estimate. Have each page of the minutes counter-signed. At the end of the visit, total the reservations and set a lifting date together.
After reception · monitoring and lifting of reservations
Keep the signed original in your legal file. Send the contractor a copy by registered mail within 48 h to formally record. At each lifting, fill in a dated and photographed annex sheet. If the contractor does not lift the reservations within the set deadline (typically 60 to 90 days), you can activate the retention guarantee. Our notice details the complete procedure.
