Data controller
The processing of personal data on the site reception-provisoire.be is carried out by the SRL Mon Etat Des Lieux, a Belgian-law company whose registered office is at Avenue Louise 367, 1050 Brussels, Belgium. CBE: BE 1024.840.830. VAT: BE 1024.840.830. RPM French-speaking Enterprise Court of Brussels.
The data controller within the meaning of the GDPR is the management body of Mon Etat Des Lieux SRL. For any question relating to the protection of your data, you can contact our data protection officer at dpo@reception-provisoire.be. We undertake to respond to any request within a maximum of 30 calendar days, in accordance with Article 12 of the GDPR.
Personal data collected
We collect only the data strictly necessary to provide our services and to operate this site. No sensitive data within the meaning of Article 9 GDPR (health, political opinions, religion, sexual orientation, etc.) is collected.
The categories of data collected are:
- Identity: first name, surname (quote and newsletter forms)
- Contact details: email address, telephone number (quote form only)
- Property address: for reception expertise missions
- Communications: content of messages you send us (email, forms)
- Browsing data: anonymised statistics via Plausible Analytics (pages visited, average duration, no IP or profiling)
We do no advertising profiling and we neither buy nor sell data to third parties.
Processing purposes
Your data is processed for the following five purposes:

Contractual performance — Preparation and execution of reception expertise missions (quotes, invoices, reports). Legal basis: performance of a contract or pre-contractual measures (Article 6.1.b GDPR).

Monthly newsletter — Sending of our tips and new resources, on explicit consent. Legal basis: consent (Article 6.1.a GDPR). Unsubscribe available at any time via a link in each email.

Site improvement — Anonymised traffic statistics (most consulted pages, user journey). Legal basis: legitimate interest (Article 6.1.f GDPR).

Response to contacts — Management of questions received via form or email. Legal basis: legitimate interest of the visitor in obtaining a reply (Article 6.1.f GDPR).

Legal obligations — Retention of invoices and accounting documents during the Belgian statutory periods (7 years). Legal basis: legal obligation (Article 6.1.c GDPR, Belgian VAT Code Article 60).
Legal basis
The table below summarises the legal basis applicable to each processing:
- Quotes and missions: contractual performance. Without this data, providing the service is impossible.
- Newsletter: explicit consent via tick-box. Revocable at any time without justification.
- Anonymised analytics: legitimate interest. No profiling cookie. Plausible solution self-hosted in Belgium.
- Invoices (archiving): legal obligation (Belgian VAT Code, 7 years).
- Replies to contacts: legitimate interest (you expect a reply).
For each processing based on consent (notably the newsletter), you can withdraw this consent at any time via the unsubscribe link in each email, or on simple request to dpo@reception-provisoire.be.
Retention period
We keep your data only for the period strictly necessary for the purpose pursued:
- Non-confirmed quotes: 3 years from the last interaction. Beyond that, anonymised archiving for internal statistics only.
- Completed missions: 10 years from the final reception, due to the ten-year liability (Article 1792 Belgian Civil Code). Beyond that, file documents are securely destroyed.
- Newsletter: until your unsubscribe. Unsubscribing results in deletion within a maximum of 30 days.
- Accounting documents (invoices): 7 years (legal obligation, Belgian VAT Code).
- Analytics: aggregated for a maximum of 26 months. No individual storage.
- Server logs: 30 days for security-incident detection, then automatic deletion.
Data recipients
Your data is processed mainly in the European Union and is only transmitted to the following recipients:
- Our internal team: Mon Etat Des Lieux SRL — registered office Avenue Louise 367, 1050 Brussels, 4 persons. Each member is bound by professional secrecy and signs a contractual confidentiality clause.
- Web host and email routing: Cloudflare, Inc. (101 Townsend Street, San Francisco, CA 94107, United States). The site reception-provisoire.be is hosted on Cloudflare Pages with delivery via Cloudflare’s European CDN. The routing of emails received at
*@reception-provisoire.beis also operated by Cloudflare Email Routing, which forwards messages to the internal mailbox of the SRL. Cloudflare adheres to the Standard Contractual Clauses (SCC) approved by the European Commission and to the EU-USA Data Privacy Framework for any occasional transfer of technical logs outside the EU. - Transactional email service: for the automated sending of newsletters and quote confirmations. The chosen provider will be specified here once activated (Brevo, Plunk or equivalent based in the EU, GDPR-compliant).
- External accountant: for invoice management only, in strict respect of professional secrecy (Belgian accounting obligation).
- Partner lawyer: on contentious files only, with your prior explicit agreement.
Clarification on emails to @reception-provisoire.be
The site reception-provisoire.be is a brand operated by Mon Etat Des Lieux SRL. When you write to contact@, dpo@ or urgence@reception-provisoire.be, your message is technically routed by Cloudflare Email Routing to the main mailbox of the SRL (contact@mon-etatdeslieux.be). This is an internal transit within the same legal entity — no third party reads your messages. The data controller remains Mon Etat Des Lieux SRL (see section 1).
No sharing with advertising agencies, profiling platforms or commercial third parties.
Your GDPR rights
You have on your personal data the following rights, guaranteed by the GDPR and the Belgian law of 30 July 2018:
- Right of access (Article 15): obtain confirmation that your data is processed + copy of this data.
- Right of rectification (Article 16): have inaccurate or incomplete data corrected.
- Right of erasure / right to be forgotten (Article 17): have your data deleted (except for legal retention obligations).
- Right to restriction (Article 18): have a processing suspended pending verification.
- Right to portability (Article 20): receive your data in a structured, machine-readable format.
- Right to object (Article 21): object to processing based on legitimate interest.
- Right to withdraw your consent: at any time, without justification, without retroactive effect.
To exercise these rights, write to dpo@reception-provisoire.be specifying the subject of your request. Reply within a maximum of 30 calendar days.

Cookies and trackers
Our site uses a strictly minimal number of cookies:
- Strictly necessary cookies (session, CSRF security): no consent required as they are essential to the operation of the site.
- Plausible Analytics: ethical analytics solution self-hosted in Belgium. No third-party cookies, no IP stored, no individual profiling. You can block this tracker via your browser without degrading the user experience.
No advertising cookies, no Facebook/Google/LinkedIn pixel, no remarketing script. We do not practise any form of profiling or retargeting.
Changes to this policy
This policy may be updated to reflect changes in our practices, legislation or technical infrastructure. Any substantial change will be notified:
- At the top of this page (date of the last update immediately visible)
- By email to newsletter subscribers, if the change affects processing based on their consent
- With a 30-day notice before entry into force, for substantial changes
